NHS E-PROCUREMENT - PEPPOL
Part of the NHS eProcurement strategy is the adoption of PEPPOL as the messaging standard to be used by the NHS in it’s procurement supply chain. In simple terms this means the Trusts will send purchase orders to its suppliers and the corresponding invoices will be sent by the supplier via the PEPPOL network. Six Scan4Safety demonstrator NHS Trusts are already using PEPPOL and GS1 standards across their organisations. A key deliverable of these hospitals is to only work with suppliers who are also able to comply with the mandate. Kodit offer two options to get you PEPPOL ready. We can integrate PEPPOL into your existing ordering system or we can give you access to your own PEPPOL portal thereby avoiding integration costs.
WHAT IS PEPPOL?
PEPPOL stands for Pan-European Public Procurement On-Line.
PEPPOL is a network where electronic business documents relating to e-commerce such as purchase orders, advice notes and invoices are exchanged between the public sector and their suppliers.
Norway, Denmark and Austria have been the earliest adopters and it has now been introduced in the UK for all procurement by the NHS.
WHAT ARE GS1 STANDARDS?
GS1 standards are a global standardised system for traceability, from product manufacture to patient treatment. It consists of 3 core enablers.
Global trade item numbers (GTIN’s) are used to identify the product in any country without any restrictions or errors.
The global location number (GLN) is a globally unique GS1 Identification Number that is used to identify any location in the supply chain that needs to be uniquely identified.
GS1 barcodes are used to capture and store the product information or patient records at all relevant points along the patient pathway
DO I NEED PEPPOL?
Indeed, if you supply to the NHS then you will not keep your contracts with them unless you have PEPPOL. Suppliers need to show their NHS buyers that they can receive a purchase order in PEPPOL format and send back an invoice by the 31st March 2018. If you tender for an NHS contract then you will have to show that you have a PEPPOL access point provider as tenders will not be accepted without one.
WHERE CAN I FIND A PEPPOL PROVIDER?
Kodit have partnered with IBM to offer PEPPOL. We offer companies a choice of two options. We can either integrate PEPPOL into your existing ordering system or offer you access to your own PEPPOL portal where you can receive your purchase orders, process them and send invoices. The benefit of this second option is you can avoid integration costs.

By now you should have GS1 GTIN numbers assigned to all your products. You will also need your GS1 GLN numbers registered with the GS1 UK master registry for your NHS clients to access and you should be considering what GDSN data pool to join. We will help you with all of the above and we’re here to help you and advise on all aspects of preparation.
You will also need a PEPPOL access point provider. We provide this through IBM, our global PEPPOL partner. Through our PEPPOL portal you can send the required purchase orders, invoices and advanced shipping notices to your NHS customers and meet all the requirements of the NHS PEPPOL.
We will provide you with all the tools you need to create your NHS master product data set. We will run detailed quality checks to make sure it is fully NHS-GS1 GDSN compliant and then submit it to the GDSN for you. Your data is held in a secure master data management system for ISO13485 and QMS compliance.
LABELLING OF PRODUCTS
We have a GS1 certified cloud based label designer that will produce GS1 compliant labels and barcodes that links to your product data. We will take your label design and create them for you adhering to the criteria for compliance. By linking the label designer to your products we drastically reduce the number of label templates you will need.
COMPLIANCE GOING FORWARD
In the early stages of eProcurement there will be changes to the requirements. We provide our clients with regular updates, leaving you free to run and build your business. The EU, Canada, US GPOs and others will soon start rolling out their own GS1-GDSN initiatives. Our service will also give you compliance requirements for these regions.

ARE YOU A MEMBER OF GS1?
For both PEPPOL and all the UDI initiatives including the NHS eProcurement strategy you will need to register with GS1.
HAVE YOU ASSIGNED GTINs TO YOUR PRODUCTS?
When you join GS1 you will be assigned Global Trade Item Numbers (GTINs). A GTIN is a globally unique 14-digit number used to identify trade items, products, or services. You then need to assign the GTINs to your products.
DO YOU HAVE A GLN?
A Global Location Number (GLN) is part of the GS1 systems of standards and is used to identify a location. The NHS PEPPOL network is based on using the GLN to route messages. We can help you create a GLN if you’re a member of GS1
HAVE YOU REGISTERED YOUR GLN?
Once you’ve created a GLN you need to register it to the PEPPOL directory. The directory acts as a yellow pages of GLNs so that customers can send messages such as Purchase Orders through the PEPPOL network.
DO YOU HAVE A PEPPOL ACCESS POINT PROVIDER?
The final thing to do once you’ve joined GS1, assigned your GTINs and created your GLN is to find a PEPPOL access point provider. This will give you access to the PEPPOL network. You can choose any provider you like. Some providers will integrate PEPPOL into your existing systems and others will offer access to the network without the need to integrate.
